Executive Assistant to Pastor (12 -15 hours per week) Contract Position

Background

CapChurch is a Christian community with over 40 years of history as a non-denominational church committed to following Jesus. Our church community is currently meeting as a larger group every other Sunday in the late afternoon at Hillside Church in Lynn Valley, North Vancouver.

We are looking for someone to administratively assist our lead pastor as well as oversee our bi-monthly Sunday gatherings. This paid position is suitable for someone who is exploring church ministry as a vocation, for someone who has event planning skills that can apply to a ministry environment, or for someone who has non-profit or ministry experience but wanting part-time hours.

Vision

Working most closely with the Lead Pastor, this person is the logistical and organizational glue of CapChurch, ensuring the smooth running and integration of all the working parts.

Accountability

To the Governance Team as represented by Lead Pastor Kim Pierrot in periodic reviews. The job is a 1-year term.

Technical Skills

Good working knowledge of computers and basic software (Microsoft Word, Excel, PowerPoint) (IT expertise is an added bonus)

Ministry Responsibilities / Priorities

  1. Administrative Support for Lead Pastor (approximately 5 hours/week)

Tasks include:

    • Keeping track of LP’s work hours, expenses, generating reports for bookkeeper
    • Overseeing approval of hours for contract employees
    • Tracking ministry budgets
    • Tracking Crim Rec Checks of all volunteers
    • Taking minutes in meetings as requested by LP
    • Sending cards and flowers as requested by LP
    • Phone calls and email correspondence on LP’s behalf as requested
    • Special projects as requested by LP
  1. “CapChurch Hub” aka Virtual Office  (approx. 5 hours/week) Tasks include:
    • Overseeing data management and tracking systems of the church through Planning Center database, keeping it updated with member info, generating reports, forms and sending bulk emails as needed
    • Maintaining computer records, backups and maintenance.
    • Checking phone and email messages, following through on all actions required
    • Management email communication and addresses
    • Management of various online account credentials
    • Managing and organizing storage locker(s)
    • Editing and producing annual community directory
    • Editing and producing Annual Report for AGM
  1. Sunday Operations (approximately 4 hours, every other week)

Tasks include:

    • Overseeing Cap’s use of rented facilities, being familiar with site policies, procedures and rental agreements, acting as liaison through regular communication with facility manager.
    • Coordinating the setup for Sunday gatherings, including coordination of food (through volunteers, food trucks etc.) and, along with other staff, ensuring all volunteer teams are well resourced and running smoothly.
